Associate Director, Events & Community Engagement 

Hours: Full-time. Requires weekend and evening work for scheduled events. On non-event weeks work is done at the office at 80 Saw Mill Road, M-Th, 9am-5:30pm, F 9am-3pm.

About Ann’s Place:

Ann’s Place is a compassionate cancer support nonprofit organization located at 80 Saw Mill Road, Danbury, CT. We serve those who are facing cancer, as well as their loved ones, with psycho-social services such as professional counseling, support groups, financial assistance and wellness activities. We help those in the midst of cancer create their own path to improving their quality of life – all free of charge.

 Job Description:

The Associate Director is responsible for supervising the team in charge of all fundraising events, volunteers, outreach and social media. They supervise one full-time employee and two part-time employees.

 The Associate Director demonstrates a passion for the core values and culture that Ann’s Place has come to represent and creates positive ways for the community to learn about and support this work. They are responsible for making sure events are a means for the community to find emotional connection as well as be financially successful.

 Ann’s Place is fortunate to have a large number of supporters interested and able to help. Roughly 800 people donate their time in teams or individually and about 5,000 come to our events.

 Events

  • Directly oversee about 5-6 events.

  • With team, provide support for about 50 “community run events” such as student bake sales, employee Jeans-Day-For-A-Cause and other fundraisers..

  • Cultivate and manage event committee members, together with event committee chair.

  • Manage site negotiations and site logistics such as food, supplies, informational signage.

  • Manage the Event Budget and compare P/L reports and the donor database frequently to ensure funds are entered correctly into both systems.

  • Meet with logistics staff regularly to best oversee event logistics such as attendance tracking, event payment systems, program book content, recognitions (digital and print), etc.

  • Manage an event planning checklist to ensure the events are on-track with tasks completed in a timely, professional manner.

  • Make sure information on the website is up to date, manage photography and update literature.

  • Research online systems that can enhance the flow of events and the guest interface.

  • Make sure all sponsorships goals are met and sponsors are recognized as promised.

 Volunteers

  • The Associate Director makes sure their team is involved in volunteer management best practices including:

  • Needs Assessment – Works closely with the entire staff and event chairs to identify needs that can best be met by volunteer workers in order to accomplish goals and conserve agency resources. 

  • Recruit – works with staff and event leads to identify new volunteers to meet need. Attends volunteer fairs, posts needs online and keep the website volunteer list up to date.

  • Orientation and Training - Trains volunteers as needed depending on job and involvement. Make sure all volunteer inquiries are answered in a timely fashion.

  • Supervise Makes sure that all placed volunteers have a supervisor. If no supervisor is identified, take on supervisory responsibility.

  • Recognize and Thank – Plans an annual appreciation event including the purchase of a small gift for volunteers who give significant time to Ann’s Place. Sends thank you emails to all volunteers after they give their time and make sure all volunteers feel how much we value them.

  • Evaluate – evaluates the effectiveness of the volunteer program on a yearly basis.

  • Ensure Record Keeping and run reports

Social Media Team

  • Organize staff and volunteers who help build content for our social media platforms. Facilitates occasional meetings to coordinate.

Outreach

  • Make sure the team is attending about 4-6 outreach events like fairs annually

  • Participate in public speaking to groups around the area.

Qualifications:

  • Event and project management experience

  • Fantastic communication skills and ability to work with people with varied backgrounds and interests

  • Experience recruiting, motivating, and supervising volunteers

  • Excellent computer skills with some database experience

  • Experience managing accounts in Facebook, Twitter and Instagram

  • Strong writing skills with a focus on email correspondence and social media

  • Ability to adjust schedule to meet the needs of the volunteers and for events.

  • Organizational skills and event management experience
