Event and Volunteer Coordinator – Part Time

Ann’s Place is a compassionate cancer support 501(c)3 nonprofit organization located at 80 Saw Mill Road, Danbury, CT. We serve those who are facing cancer, as well as their loved ones, with psycho-social services such as professional counseling, support groups, financial assistance and wellness activities. We help those in the midst of cancer create their own path to improving their quality of life – all free of charge.
Position Description:
The Event and Volunteer Coordinator reports to the Associate Director, Events & Community Engagement. The Coordinator assists with the logistical planning and execution of major fundraising events and the day-to-day coordination of volunteers. This position plays a critical role in furthering the organization's revenue development goals by ensuring events run smoothly and fostering a positive, active volunteer workforce.
Work Schedule: Part-time, averaging 25 hours per week from the main offices in Danbury, with some meetings and events at other locations. Note: Hours increase significantly around major events like the Ann's Place Fashion Show (April) and Festival of Trees (November)
Flexibility: Some weekend and evening hours are required to support the six main fundraising events and various community-run fundraisers.
Team: Works as part of the Event and Development Team structure, collaborating closely with staff, event committees, and the community.
Specific Responsibilities:
Event Support
Attend event committee meetings, take detailed notes, and help build the meeting agenda with the relevant committee leader and Associate Director.
Assist with scheduling appointments and sending reminders to event supporters, such as coordinating model makeup sessions (for the Fashion Show and for Through The lens), photographers and vendors.
Support specific event logistics, including attendance tracking, event user systems, and program book content.
Maintain a comprehensive event planning checklist to ensure tasks are completed on time and professionally.
Manage materials for events, anticipating volume, submitting orders and assisting other staff/volunteers to remember all needed supplies.
Supporting website updates.
Volunteer Management
Assess volunteer needs for events and work and as directed by Associate Director.
During an event check in and assign volunteers to roles they signed up for.
Act as the support on-site for event volunteers, coordinating with the supervisor or lead at event.
Coordinate and manage hands-on, activity-based volunteer groups, including garden clean-up teams/days and corporate groups.
Manage volunteer sign-up platforms, such as Sign-Up Genius, ensuring the volunteer sign-up list is finalized and ready six weeks before each event.
Ensuring there is appropriate follow-up to supporters post event.
Maintain the volunteer database to ensure all records are current, including:
o Confirming that the volunteer application is active and complete.
o Properly marking and coding volunteers according to the events/activities they supported.
Job Qualifications:
A bachelor’s degree is strongly preferred.
3 – 5 years of relevant work experience in all aspects of event planning and execution required.
Proven strong organizational skills and attention to detail.
Enthusiastic and positive. Strong interpersonal skills.
Strong verbal and written communication skills.
Excellent time-management skills and the ability to work under pressure
Ability to work and make sound decisions independently and take initiative to work with a team
High capacity to manage, assess value and prioritize multiple tasks and activities
Familiarity with design tools such as Canva and digital fundraising platforms (e.g., Click Bid, Little Green Light, auction/peer-to-peer sites) is strongly preferred.
Experience with layout or graphic design is desired but not mandatory.
Proficient computer skills for databases, word processing, spreadsheets, etc.
Must be able to lift at least 40 pounds.
Must have a valid driver’s license and reliable transportation throughout the day.
Salary Range: $18-$25
