Client Reception and Data Entry Associate (PT 25 hours/week)

 Supervisor/Reports to: Manager, Office and Client Supports

The Organization:

Ann’s Place is a compassionate cancer support nonprofit organization located at 80 Saw Mill Road, Danbury, CT. We serve those who are facing cancer, as well as their loved ones, with psycho-social services such as professional counseling, support groups, financial assistance and wellness activities. We help those during their cancer experience create a path to improving their quality of life. We do not charge clients any fees for this support. While our paid staff is a fairly small team of about 14, we have 36 pro-bono clinicians and wellness staff and also engage over 1,000 passionate and caring volunteers in many capacities throughout the year. 

Position Description:

This team member will primarily focus on client communications, welcome desk management, data entry and reports, support of wellness volunteers, as well as client attendance.  We welcome enthusiastic, compassionate, empathetic, flexible and creative applicants who work well independently and in teams.  

The Client Reception and Data Entry Associate sits at the front desk and is responsible for meeting clients as they enter Ann’s Place and helping them to feel welcome. S/he must be sensitive to the needs of each client as no two clients are the same. S/he must be able to adapt to different situations and lead with kindness and compassion.  

The Client Reception and Data Entry Associate will be responsible for answering the phone and directing calls. The Client Reception and Data Entry Associate must have a solid knowledge of Microsoft Office which includes, but is not limited to, Excel, Power Point, and Word. Some knowledge of email schedulers such as Levitate is a plus.   

Position responsibilities include but may not be limited to the following: 

  • Client Reception and Data Entry Specialist will help the Manager, Office and Client Supports with all client program communications including:

    • Flyer requests & coordinating programs with staff and volunteers

    • Scheduling of programs

    • Creating flyers

    • Setting up programs (and keeping up to date in):

      • Outlook and online calendars

      • Levitate

      • Zoom

      • Database

    • Emailing clients program related information such as zoom links (as needed)

    • Coordinating pick-up of program materials (as needed)

    • Entering program attendance

    • Assist with scheduling, notifications/changes/cancellations of support groups and wellness activities as needed.

    • Confirming Acupuncture and Reiki appointments, and keeping the treatment room orderly, flipping the room for Acupuncture on Fridays, and back to Reiki form on Monday afternoons.

       

  • Aid the Manager, Office and Client Supports with managing Zoom accounts for agency, creating and updates meetings, as necessary, and helping clients with technical software questions. 

  • Manage the welcome desk during assigned hours (some evenings), dissemination of client/community event information and direct all incoming calls to appropriate parties.

  • Report on the need for any event and office supply orders including kitchen needs, special event supplies, art program supplies, bathroom orders, and office needs to the Manager, Office and Client Supports. Special skills at finding coupons and discounts is desired. Accept incoming packages, alert appropriate staff/volunteer as needed and unpack and put away supplies. Inventory supplies frequently and lets supervisor know about what is needed to order. Help organize “supply drives” so we can offset orders with donations. 

  • Assist in pulling routine reports from database and making sure data is inputted correctly. 

  • Assist clients with setting up and accessing their client portal and troubleshoot portal issues. 

  • Help maintain up-to-date clinical email list on Levitate. 

  • Help set up office volunteers on projects such as library care, welcome and reception for evening programs, watering plants, laundry, posting flyers and small cleaning projects (sterilizing door handles and cleaning kids toys etc.). 

  • Help with common area upkeep such as emptying the dishwasher, keeping the counters clean and making sure coffee and tea is out for guests. 

  • Other duties as assigned.

 

Additional Qualifications:

 

Proficient with Microsoft Office Suite, databases, and spreadsheets

  • Bilingual in Spanish and/or Portuguese highly desired

  • Ability to multi-task and problem solve

  • Excellent verbal (phone) communication and customer service skills

  • Strong organizational skills

  • Some evening hours are required based upon client/program needs.

 Salary Range: $17-$20 hour
